THE RECORDS ROOM

PRIVATE AI · KENDALL PARK, NEW JERSEY

Your records room, answering.

We install a private AI on a small computer inside your office. It reads your files — decades of them — and answers questions in plain English. Nothing ever leaves your building.

THE PROBLEM

Your files can't touch the cloud.
The questions don't care.

Client files, patient charts, returns, policies — privilege, HIPAA, and books-and-records rules mean pasting them into ChatGPT isn't an option. So the answers stay where they've always been: in the cabinets.

The archive keeps growing

Decades of paper plus twenty years of PDFs, spread across cabinets, shared drives, and a scanner folder nobody has opened since 2019. It only gets bigger.

Finding anything takes a person

"What did we file for them in 2021?" costs an afternoon in the file room — usually your most experienced person's afternoon.

Cloud AI is off the table

Every AI tool your staff is tempted to use sends your clients' documents to someone else's servers. For your practice, that's not a convenience — it's a breach.

The fix isn't another subscription. It's a machine that never leaves the room.

HOW IT WORKS

Three steps. Then you just ask.

STEP 01

We install the box

A small computer — about the size of a book — set up in your office, on your network, in one visit. You own the hardware. We configure everything.

STEP 02

It reads your files

Drop documents in a folder and they're read within the hour — PDFs, scans, old paper included. For cabinet backlogs, we coordinate bulk digitization. Everything stays on the machine.

STEP 03

You ask. It answers.

Plain English, from anyone on staff: "Pull the Henderson trust — every version." It answers and shows you the file it found. Works with the internet unplugged.

FOUNDING CLIENTS

We're installing our first five systems
at founding pricing.

The Records Room is new, and we're local. Our first Central Jersey installs are priced under our standard rate in exchange for one thing: being a reference we can point the next firm to.

A standard installation runs $2,500–$5,000 depending on archive size and sources, with ongoing support from $300/month. The computer itself — typically $1,400–$2,000 — you buy directly from Apple, in your name. We spec it, you own it, and we never mark up hardware. Founding clients come in under standard pricing — ask when you call. Paper backlogs are scoped separately after a walkthrough; we manage the digitization end to end.
